Why do we treat your personal data?
The purpose of the career follow-up questionnaires is to follow up the early working career and the labor market situation of newly graduated masters, and of a so-called final bachelor’s degree (e.g. early childhood education teacher, legal notary or pharmacist), one year after graduation. What do graduates do after graduation? Where do they work? Do they use what they learned during their studies, and have they learned what they need in working life? Are they satisfied with the education and career? Åbo Akademi wants to offer a high-quality education that contributes to personal development and good career opportunities. The information collected by the survey provides Åbo Akademi a response to how the graduates experienced the encounter with working life and the start of their career, and how the education and various forms of service during studies supported jobseeking and employment. The information collected is used in the development of the education, in study guidance and career councelling. It is also used to give prospective students an idea of the career opportunities a degree at Åbo Akademi can open up, in the form of examples on the education programs’ websites and study information. The information can also be utilized in research.
A report is published on Åbo Akademi’s website (www.abo.fi/arbetsforum > see Alumni in working life) and distributed to Åbo’s management, faculties and education managers.
According to GDPR there must always be a legal basis for processing personal data. The legal basis for processing your personal data is:
Public interest or official authority: Åbo Akademi University has statutory tasks of public interest and the right to exercise official authority according to the Universities Act. Scientific and historical research is an example of a statutory task of public interest. The legal basis for the processing of personal data is public interest based on the universities’ data according to the Finnish Universities Act (228/2009, § 2 and § 87), that is, for evaluating and developing the university education.
Which personal data is processed and by whom?
The register for career follow-up surveys (1 year after graduation) at Åbo Akademi consists of the answers to the survey and the following background information is processed in connection with the survey:
a) Online form ID, response date
b) Identification data, which is not stored with the answers and used solely for the administration of the target group and mailings.
– first name, last name
– telephone number
– email address
c) Background information that is stored together with the survey responses:
– gender, citizenship, mother tongue
– university, year of admission, age at graduation, field of study (levels 1, 2, 3)
– degree level, place of study, main subject, field of study/subject area, faculty, other vocational or university degrees.
The questions asked relates to employment situation, satisfaction with the degree, skills developed by the education, how one experienced the meeting with working life, questions about the workplace and salary as well as cooperation with working life within the education programme. The questionnaire consists of both questions with answer options and open answers. All questions (except the mandatory background information) are optional.
Only ÅAU employees with responsibilities to work with career follow-up surveys have access to the register, which is stored on a server that requires personal login with a password. At ÅAU, the coordinators at Career services are responsible for the surveys.
From where do we collect your personal data and how is the data processed?
Invited to participate in the survey are alumni from ÅAU, graduated in the calendar year previous to the survey. The source for information about the target group is Åbo Akademi Universities study register, where education and contact information is retrieved based on the graduation year. The contact information (e-mail adresses) can be supplemented with information from Åbo Akademi University alumni register. Other information is collected from the questionnaire, filled in by the respondents themselves.
The invitation to participate in the survey is sent by e-mail. If e-mail address is not available, invitation can be sent by sms. The career follow-up surveys are carried out by Webropol. The program creates personal links for the respondents’ log in to the form, so that the answers can be combined with correct education.
Data is stored in various program formats on ÅAU’s server, in a file with limited access on a disc space that requires username and password. The material is compiled so that numerical data can be obtained for the questions in the survey (e.g. how satisfied are you with the degree). For background information that increases the possibility of identification (e.g. main subject), material is not published if responses are fewer than five (<5), but combined with related main subjects on education field level. Open responses are linked to opinion sets. Individual quotes from open-ended responses may be published in results reports, but so that the response cannot be traced back to an individual.
Open responses are deleted from disk space after 10 years, so most of the background information. Database with numerical information is stored permanently, or as long as the material is considered relevant for comparisons between the surveys.
Identification information is stored separately from the collected data and only as long as the data collection is ongoing. Identification information will be erased when the survey is closed.

What rights do you have when Åbo Akademi University processes your personal data?
Åbo Akademi University is responsible for taking appropriate technical and organisational measures to protect personal data against unauthorized or illegal processing and against damage to or loss of personal data. Personal data must always be processed in a fair and transparent manner in accordance with applicable data protection regulations
According to the EU General Data Protection Regulation GDPR, you have the right to
– get transparent information on how your personal data is processed and how you can exercise your rights (Art. 12)
– get access to your personal data at Åbo Akademi University and information on the processing of data (Art. 15)
– have your personal data corrected (Art. 16). Note that employees and students at Åbo Akademi University can in most cases correct their own data according to the instructions on the intranet.
– have your data erased (“the right to be forgotten”) in certain situations (Art. 17)
– restrict the processing of your personal data in certain situations (Art. 18)
– have your personal data transferred between systems in certain situations (Art. 20)
– object to the processing of your personal data in certain situations (Art. 21)
– not be subject to automated decision-making, with certain exceptions (Art. 22)
You have also the right to be informed of a personal data breach involving a high risk for your personal data (Art. 34).
When the purpose of the processing is scientific research, statistics or archival purposes, the rights may be restricted by the Data Protection Act (1050/2018). Restrictions on rights always require special protective measures.
